Cosmetic Packaging Drawing Approval: Who Can Release a Revision?

Quick Answer

Before releasing a packaging drawing revision, identify who creates it, who reviews each affected requirement and who authorises production to use it. Keep the accepted drawing, component list and sample decisions connected. An OEM or ODM label does not automatically define those responsibilities, and an artwork approval is not approval of every functional dimension.

A cosmetic company, packaging supplier and filling factory may all contribute to one pack. A wholesaler may coordinate the enquiry without designing the component. The useful working agreement names actual decisions rather than assumes one service label gives a party unrestricted authority. This article concerns drawing release, not ownership rights or a legal interpretation of a manufacturing contract.

Identify what the drawing controls

Ask the supplier to explain the drawing’s purpose and scope. A catalogue outline, concept rendering and production drawing are different documents. Identify which one defines the supplied component and which information remains elsewhere. A visual concept may not include the interfaces needed by the filler.

Keep the drawing number and revision with the component reference. Identify dimensions, material proposal, surface regions and other requirements that the responsible teams use. Do not treat an unlabeled PDF attachment as the latest version simply because it arrived most recently.

List connected documents such as the assembly specification, artwork, finish instructions and relevant sample records. A revision to one document may require review of another. The list should let production retrieve the applicable set rather than choose files from separate messages.

Separate review roles from release authority

The brand may review product appearance and intended use, the filler may review line interfaces, and the supplier may review manufacturability and supplied components. Name who performs each review for this project. Do not imply that every company automatically has the same role or capability.

Define who can authorise a change that affects production scope or cost. A reviewer identifying a problem is not necessarily the person permitted to order a tooling change. Keep technical comments and commercial authorisation distinct, then connect them in the final release record.

Where a wholesaler relays decisions, preserve the original approval reference and scope. A sales message saying customer approved can be ambiguous if the customer reviewed only colour. State the attributes and documents actually accepted, and refer unresolved questions to the authorised project owner.

Show changes before asking for approval

Provide a revision summary identifying the changed regions and the reason for each change. Distinguish requested changes from incidental changes proposed by the supplier. A full new drawing without a difference summary makes it harder for other parties to know what they need to recheck.

Keep the previous released revision accessible and clearly superseded where appropriate. Do not overwrite the only record of the earlier configuration. The comparison should show whether a neck, base, shoulder, decoration region or fitted component relationship has changed.

Describe the observation behind a corrective revision without claiming a cause that has not been established. If a filler reports an interface issue, attach the relevant sample and equipment record. A drawing adjustment is a proposal until the responsible review and affected sample work are completed.

Decide which evidence must be repeated

Ask each responsible team which accepted results remain applicable and which need another sample or line trial. A body geometry change can affect fixtures; a material change can affect formula-contact work; a finish boundary can affect fitted components. The actual change determines the review, not the size of the edit on screen.

Do not assume a small dimensional change is automatically harmless. Equally, do not repeat every unrelated assessment without considering scope. Record the rationale and responsible decision so purchasing can see what remains before release.

Keep conditional acceptance explicit. Accepted pending a final sample means the condition is still open. Do not change that entry to released merely because the planned production date arrives. The sample approval record should state the actual evidence and remaining conditions.

Release one controlled document set

Before production, confirm the current drawing and all linked component and artwork references. State the release date, responsible authorisation and the order or configuration covered. Give the supplier and filler the same applicable version set rather than separate informal copies.

Ask how obsolete working copies are identified under each party’s process. The project coordinator need not dictate another company’s internal system, but should confirm that the accepted revision can be retrieved and distinguished from a development alternative.

Record the transition for existing stock and work already started. A new drawing does not tell production whether previous parts should be used, held or reviewed. That disposition belongs to a separate authorised decision linked to the change. Preserve stock identity until the scope is resolved.

Keep reorder questions visible

For a repeat order, verify the quoted configuration against the released set. A model name alone may hide a supplier revision. Ask whether anything differs from the retained reference and route proposed substitutions through the agreed approval owner.

Wholesalers should keep customer-specific accepted references where applicable. One customer’s accepted drawing does not authorise a change for another customer’s line. Avoid saying a component is equivalent solely because it looks similar or carries the same advertised capacity.

  • Drawing purpose, number and revision.
  • Connected component, assembly and artwork documents.
  • Review responsibilities and release authority.
  • Change summary and evidence to repeat.
  • Conditional decisions and final authorisation.
  • Existing-stock disposition and reorder reference.

Use the decoration brief for visual process requirements and the milestone plan to show unresolved dependencies. Neither replaces the drawing-release decision.

Request a scoped packaging offer

Oulete’s glass packaging and cosmetic tubes start at 10,000 pieces; plastic airless and plastic lotion bottles start at 5,000 pieces. Confirm tooling and decoration scope separately. Send the controlled drawing set and review responsibilities when you request packaging development support. Do not infer formulation, filling services or ownership terms from the OEM or ODM name.
